Every time you name a document, you are adding pieces of information to help you find it later. Metadata is a fancy word for data about data. The mind-map then became a cheat sheet for their new employees. Seeing their taxonomy issues helped them address these issues. Something people worked around, but drove newer employees crazy with confusion. Using a mind-map to facilitate the conversation, we revealed ambiguities and inconsistencies of terms. There are many mind-mapping tools out there. I spent some time early on trying out these different options. They like that they can edit the document themselves. I’ve had many customers request a copy of what we’ve worked on. This means the people I work with can open and edit the files themselves.
